Sending a large volume of emails without proper preparation can lead to low engagement rates, spam complaints, or even blacklisting by email service providers. To prevent these issues, our system generates a tailored warm-up plan based on your maximum sending volume.

An email warm-up plan is a strategic approach to gradually increasing your email sending volume over a set period, typically ranging up to 30 days. This gradual increase helps build a positive reputation with Internet Service Providers (ISPs) and avoids triggering spam filters. By starting with smaller volumes and progressively scaling up, you demonstrate consistent and responsible sending behavior.
Our system creates a customized warm-up plan by considering several key factors:
You can select a warm-up period between 1 and 30 days. A longer warm-up period allows for a more gradual increase in sending volume, which can be beneficial for building a strong sender reputation.
The sending limit represents the maximum number of emails you can send per day. This limit is determined by:
Your Subscription Plan: Different plans have varying sending capacities. The warm-up plan ensures you stay within your plan's limits.
SMTP Capabilities: A single SMTP server (1 IP address and 1 domain) has a maximum capacity for sending emails per day. The warm-up plan accounts for this to prevent overloading the server.
The system calculates daily sending volumes that incrementally increase. For example:
Day 1: Send 100 emails
Day 2: Send 200 emails
Day 2: Send 400 emails
...
Day 30: Reach your maximum daily sending limit
This approach helps in building trust with ISPs as they observe consistent and responsible sending patterns.
Update Plan Section:
Name: The user can set a custom name for the warm-up plan (e.g., "My Daily Warmup 1").
Warm-Up Days: This field defines the total number of days over which the warm-up process will gradually increase the sending volume. In this example, it's set to 30 days.
Sending Limit: This specifies the maximum daily sending volume (e.g., 5000 emails per day). This limit helps the system determine the increments in sending volume each day.
Once these values are set, the user can Save changes to preview the warm-up schedule.
Generated Warm-Up Plan:
This section displays the detailed schedule for each day of the warm-up. The Schedule column lists each day, while the Quota column shows the number of emails to be sent on that day.
For example, on Day 1, the quota is 21 emails, gradually increasing each day until it reaches the maximum sending limit of 5000 emails on the final day.
This gradual increase in daily volume is designed to establish a positive reputation with email providers by building up email volume over time.
Warm-Up Plan Chart:
The chart on the right visually represents the incremental increase in the daily email quota over the warm-up period. The curve shows a steady upward trend, which demonstrates the gradual increase in sending volume as the days progress.
Activating the Plan:
The user has the option to Activate Plan after finalizing the warm-up schedule. Once activated, the warm-up plan is locked and cannot be edited. This ensures that the plan remains consistent throughout the warm-up period, helping maintain a stable sender reputation.
This generated warm-up plan provides a clear, structured approach to safely increasing the email sending volume, protecting sender reputation, and optimizing deliverability. Users can review and modify the plan until they activate it, after which it becomes final and unchangeable.
To ensure the best email deliverability, assigning a warm-up plan to a delivery server helps control the sending volume gradually. Here’s a comprehensive guide on how to assign a warm-up plan and what to expect:
Open the Delivery Server Settings:
Navigate to your dashboard and open the specific delivery server you want to assign a warm-up plan to.
Only Active Warm-Up Plans Can Be Assigned:
In the delivery server settings, locate the Warm-Up Plan section. Begin typing the name of the active warm-up plan (e.g., "My Daily Warmup 1") in the input box. Only active warm-up plans will appear in the dropdown list. Choose the desired plan to assign it to the delivery server.
Quota Fields Become Inactive:
Once the warm-up plan is assigned, all quota-related fields on the delivery server, such as the Hourly quota and Daily quota, will automatically become inactive (grayed out).
This happens because the warm-up plan will now control these limits, adjusting them incrementally based on the daily schedule. The sending quotas will be managed by an hourly cron job, ensuring a gradual increase in sending volume without manual intervention.
Generated Warm-Up Plan Overview:
After assigning the plan, the Selected Warm-Up Plan section shows the daily warm-up schedule for this server. The schedule displays a day-by-day Allowed Quota, which starts with a low volume and increases each day according to the warm-up plan.
Each day in the schedule has a Status labeled as "Pending" until it is processed. When a day’s quota is reached, the status updates to "Completed" for that day, indicating that the warm-up process has successfully advanced.

An adjacent chart visually represents the gradual increase in daily sending volume over the warm-up period. This helps you monitor the daily increments as the sending volume gradually reaches the maximum quota, ensuring smooth and controlled growth in sending capacity.
After the Warm-Up Completes:
Once the warm-up plan finishes, the quota fields on the delivery server will become active again, allowing you to adjust sending limits manually if needed. At this point, the server can operate at full capacity or as per any new adjustments.
By following these steps, you can easily assign a warm-up plan to a delivery server. The system will then automatically handle the daily sending limits, building up your server's reputation for better deliverability.
Multi-Server Usage: A warm-up plan can be assigned to multiple delivery servers.
Post-Completion Quota: Once the warm-up plan completes its cycle for a delivery server, the quota restriction will be lifted, allowing unrestricted sending based on the server’s capacity.
Advancing Schedule: Even if the delivery server sends fewer emails than the daily quota, the system will advance to the next schedule day after each quota is completed.
Deleting Plans: If a warm-up plan attached to a delivery server is deleted, you must manually adjust the server’s quota settings.
Switching Plans: Avoid switching between warm-up plans during an active warm-up period. If you switch plans, the current plan will freeze and resume only if it is re-assigned to the same server.
After setting up and assigning the warm-up plan, the delivery server can be used as usual. However, the sending limits are regulated by the warm-up plan until the scheduled period completes. This approach ensures that the delivery server gradually builds a sender reputation, optimizing deliverability and preventing spam triggers.
By adhering to the warm-up plan, you increase the likelihood that your emails will reach the inbox rather than the spam folder. ISPs are more accepting of senders who gradually increase their volume.
